How to adapt a workplace to the new rules for issuing occupational health medical certificates?

The transition period for implementing new regulations regarding the issuance of occupational health medical certificates has concluded. As of October 18, 2026, such certificates are issued in electronic form. Once a physician issues a certificate, it is uploaded to the Medical Information System (System Informacji Medycznej). Employees can access the electronic version of their certificate via their Online Patient Account (Internetowe Konto Pacjenta). Employers do not have direct access to certificates issued by occupational health physicians. Clients of our accounting firms in Kraków and Warsaw have been asking us how to obtain access to these medical certificates under the new regulations.

Are you unsure whether a medical certificate should be electronic or on paper? Ask the specialists in the HR and payroll departments at our accounting firm, PRWT.

Our experts at our accounting offices in Kraków and Warsaw are available to help clarify these new regulations.

The previous method of providing certificates remains an option. A physician may print a paper version of the certificate and sign it by hand— upon the employee’s request—which the employee can then hand over to their employer. Furthermore, the certificate is available via the Online Patient Account, from which the employee can download a visual representation of the document or share it with their employer electronically.

Additionally, the occupational health physician and the workplace can agree upon a specific format and method for delivering the certificate directly to the employer. The appropriate place for such provisions is the agreement concluded between the employer and the medical facility. For instance, the employer may require the medical facility (or the occupational health physician) to send an electronically issued medical certificate to a specific email address, or to deliver it via another method established within the workplace for the handling of electronic documents.
