Accounting Services – prices in Poland: 2024 Price list for Warsaw and Cracow

In Poland, including the two largest cities, Warsaw and Cracow, a large number of accounting firms offer their services. These firms go by various names, such as “Accounting Office,” (in Polish: “Biuro Księgowe”) “Bookkeeping Office,” (in Polish: “Biuro Rachunkowe”) or names that specify the type of services provided, like “Accounting Services.” Besides terms like “Accounting Office” or “Bookkeeping Office,” their names often include a creative element or simply the names of the owners/co-owners. These firms operate in different legal and organizational forms; larger firms are often capital companies (usually limited liability companies), while smaller ones frequently take the form of individual businesses or partnerships formed by accountants.

Accounting offices in Poland provide services related to accounting as well as payroll and HR services. Since the law does not prohibit it, they can and often do offer additional services, such as legal services (which are not legally required to be provided by lawyers or legal advisors) and tax advisory services, among others. Legal services offered by accounting offices are often subcontracted to collaborating lawyers (attorneys, legal advisors, or law firms).

The accounting services typically provided by accounting offices in Poland include:

  • Keeping financial books and records of income and expenses
  • Managing fixed asset records
  • Maintaining VAT records and preparing VAT returns
  • Calculating tax liabilities
  • Preparing CIT and PIT tax returns, as well as reports for the Central Statistical Office (GUS) and the National Bank of Poland (NBP)
  • Preparing annual financial statements
  • Representing clients before tax authorities

HR services provided by Polish accounting offices usually include:

  • Managing employee documentation
  • Preparing employment contracts
  • Preparing notices of termination
  • Issuing employment certificates
  • Preparing payroll lists
  • Drafting civil law contracts
  • Calculating personal income tax
  • Preparing tax returns
  • Preparing social security declarations
  • Representing clients before the Social Insurance Institution (ZUS)

Internet search engines can help find the addresses of many Polish accounting offices, including those offering services in Warsaw and Kraków. However, they do not often provide much information about the quality of the services these offices offer. It is important to note that incorrect tax or social security settlements will ultimately burden the entity (company) for which the accounting or payroll services are provided. Financial liability may be transferred to the accounting office (regressive liability) if it can cover the financial obligation (e.g., interest on unpaid tax liabilities or ZUS contributions). Therefore, selecting and verifying an accounting office is crucial, as are the competencies of the staff working there.

References and the experience of those providing accounting or payroll services can be helpful in this regard. Before signing a contract for accounting or payroll services with a Polish accounting office, it is advisable to check the final amount to be paid for these services. Many accounting offices in Poland, including those in Warsaw and Cracow, have not only a basic price list for accounting and payroll services (including a flat rate for the number of documents processed or the number of employees on employment or civil law contracts) but also additional price lists for other accounting and HR services. Therefore, it is wise to check the total amount to be paid monthly for these services in the context of your specific business needs.

Prices for accounting services provided by accounting offices in Poland, including Warsaw and Kraków, vary and are approximately as follows in 2024:

  • Keeping income and expense ledgers (KPiR): 180-500 PLN per month
  • Flat-rate accounting: 130-500 PLN per month
  • Full accounting (accounting books): 450-3000 PLN per month, with the upper limit potentially much higher depending on the number of documents processed monthly; for a large number of documents, the cost may be significantly higher.

The above amounts are net amounts, which must be increased by VAT, currently 23% in Poland for accounting and payroll services provided by accounting offices.

In summary, regarding the accounting and payroll services provided by accounting offices in Poland, including Warsaw and Kraków, before choosing an accounting office and signing a contract for accounting and payroll services:

  • Ensure the quality of the services you will receive
