Accounting in Warsaw – how much does it really cost and how to avoid overpaying?

Running a business in Warsaw is a bit like driving on a highway without limits – you can go fast and far, but you pay for every kilometer. Renting an office in Wola or Mokotów? 3,000–6,000 PLN per month. A full-time accounting specialist? Another 7,000–10,000 PLN with ZUS (Social Insurance Institution) on the sidelines. And then the question arises: does accounting in Warsaw have to be expensive?

We’ve tested this with our own clients. And the answer is: it doesn’t have to be, but be warned – the cheapest offer can be the most expensive in terms of results.

Below, we show you how much an accounting firm in Warsaw actually costs, what to watch out for, and why outsourcing is often the only sensible choice for a startup.

How much does an accounting firm cost in Warsaw? Specific figures

Let’s start with the facts. We reviewed offers from several offices in Warsaw (Wola, Śródmieście, Mokotów, Ursynów), and the prices are as follows:

  • Micro-enterprise (flat rate, low ZUS, up to 10 invoices/month) – PLN 150–350 net
  • Small company (revenue and expense ledger, up to 30–50 documents) – PLN 350–700 net
  • Medium-sized company (full accounting, HR, payroll, 3–5 employees) – PLN 800–1500 net
  • Startup with Estonian CIT or foreign capital – prices here jump to PLN 1500–3000 net, as the service is more demanding.

Warsaw is more expensive than Łódź or Poznań – by an average of 20–30%. But be warned: a PLN 200 accounting office in the capital almost always exists only on paper. You either pay extra for every phone call, or the accountant makes mistakes that you then have to correct.

Why is the cheapest accounting firm in Warsaw often a trap?

A client, let’s call him Tomek, runs an online toy store. For two years, he paid 199 PLN for “accounting in Warsaw.” It was cheap. Until the ZUS audit.

It turned out that the firm:

  • failed to submit two JPK_VAT declarations on time
  • failed to submit ZUS DRA reports for three months
  • failed to respond to a request from the Tax Office

The result? 12,400 PLN in penalties and interest. Add to that three months of frustration and visits to offices.

And here’s the crux: a cheap firm doesn’t save you money. It transfers the risk to you. Because the accounting firm is only liable up to the premium amount (often 2,000–5,000 PLN for third-party liability insurance), and you pay for any errors out of your own pocket – sometimes tens of thousands.

Therefore, when choosing, ask not only about the price, but also about:

  • third-party liability insurance – how much? (over 50,000 PLN is a good sign)
  • Access to a tax advisor – not just an accountant
  • Contractual penalties for errors – does the office recognize them?

Warsaw’s specifics – startup, B2B, foreign capital

Warsaw isn’t Radom or Kielce. Here, most of our clients are:

  • A technology startup with B2B contracts for 100–200 people
  • A limited liability company with an investor from Germany or the UK
  • A company with Estonian CIT that settles quarterly

And here, a regular accounting office often can’t handle it. Why?

A real-life example: An IT company, a contractor from the Netherlands, an invoice in euros, an intangible service. Who settles VAT? Where is the place of supply? Do you need to register for VAT-EU? A standard accounting office will say, “I don’t know, call an advisor.” But a good accountant in Warsaw will answer immediately, because that’s their daily routine.

What should you expect from an office in the capital?

  • Knowledge of B2B contracts and Estonian CIT
  • Intra-Community VAT settlement skills
  • Currency handling (euro, dollar, pound)
  • Integration with sales systems (Shoper, WooCommerce, BaseLinker) via API – manually retyping invoices is just asking for errors.

You can’t do without this. Unless you like risk.

Brick-and-mortar office or online? Or maybe both?

As an office with branches in Krakow and Warsaw, we’ve been down this path ourselves. Clients say, “It’s great that you have an office on Chmielna Street, because if I need to, I can drop by.” But we handle 90% of our business online.

What works best?

  • Document exchange system (no flash drives or emails back and forth)
  • Browser access – log in and see what’s booked
  • Chat or quick phone call – I don’t like bots, and neither do the clients
  • Quarterly in-person meeting – over coffee, discuss reports and plans

Avoid offices that are online-only and don’t have anyone’s number. And avoid those that require you to come in with every invoice. The golden mean? An office in Warsaw that works efficiently online, but you can come in if necessary.

Summary – how to choose the right one, not the cheap one?

When choosing accounting services in Warsaw, don’t just look at the price. Do this:

  1. Get quotes from 3-5 offices – not just the cheapest ones.
  2. Ask about third-party liability insurance and a tax advisor – the lack of one is a red flag.
  3. Check if they have an API and an online system – it saves hours.
  4. 4. Ask for a sample report or analysis – see if they understand it.
  5. Call and see how they answer the phone – if they don’t answer now, they won’t answer in a crisis.

And remember: a good accounting firm isn’t a cost. It’s an investment in peace of mind. A PLN 10,000 fine for an error hurts much more than PLN 600 for decent service.
